My staff and I would like to thank you all for an action packed year for us at CDS. Whilst we have experienced many changes (including the loss of Jason Belzycki after 7 years to working in his family's business), I hope you all agree that the ITK engine room at CDS has continued on diligently to offer the same levels of service we have always achieved.
I am very proud of the way our ITK team (Shohil, Ann and Arne) has continued to deliver excellent levels of product and services, and behind the scenes, we have gone a long way in implementing policies and procedures that support the team in it's endeavour to ensure continued top quality products and services on an ongoing basis.
Similarly, our OVU team has survived a metamorphosis. Early this year, we redeveloped the entire product to allow it to work well beyond used cars, and we have seen a number of New Car and Motorcycle dealers implementing OVU as their vehicle advertising tool of choice.
This had required us to double our development and support team resources to focus their entire energy on OVU over a good part of this year to cope with the alterations, and deal with these new
types of feeds to our service partners and dealers direct.

The outcome of this effort sees OVU being potentially capable of handling any form of advertising, so if any
of you in the market feels there is an area that requires assistance for advertising, please take the
opportunity to share your thoughts with us.
CDS are excited about all of the new technologies that we have continued to fine tune over the last few years. A number of you are benefiting now from the fruits of our labour with our exciting and liberating
web based products. If you feel you do not know enough about what is available, please feel free to contact me personally, or ask the person in our organisation you feel most comfortable to work with. One of our
ongoing aims is to always be accessible to our valued customers.
There is also an inclusion in this newsletter that describes how we can now capture the happenings across your entire business (including all order / delivery books) to deliver a truly up to date Daily Operational Control. Those dealers who have taken the plunge already are benefiting from a more timely and
accurate perception of their business with less effort than ever before. So whilst most of you only look
at and compare budgets to Service and Parts departments on a daily basis, our BTWonline and ITKonline dealers are truly benefiting from extending that experience to the New, Used, F&I and AfterMarket departments also.
I invite those of you who currently feel either :-
a) choked of relevant current information, or
b) go to great lengths to run a manual system parallel to your in-house solution to maintain a relevant daily progress of your business;
to thoughtfully read our article on our "Daily Operating Control". This solution is the answer to all of your
woes by overcoming double entry, and ensuring visibility across your organisation to deliver the true
"state of affairs" across your entire business.
With respect to manning our offices over the next weeks, CDS will largely be closed over the christmas
break (we break up on Friday 21st December), Damien Beeby has made his services available to support
OVU during this period, so OVU support wil be available. Damien will be able to pass on any other urgent
issues to the relevant team who I hope will otherwise be taking full advantage of the break from work to be
with family and relaxing after a big year.
So, if you believe you have an issue that can wait until Wednesday 2nd January, our ITK and BTW teams would greatly appreciate your patience and understanding. Our first calling is to our customers however,
so we will gladly attend to any urgent matter with you to ensure that your critical processes are in place
and fully operational.

Are you getting the most out of your “In The Know”? |

Factory Reporting Submissions |

ITK assists many dealers today in producing those time consuming but mandatory Factory Submissions for any number of franchises with a tool that is linked and reconciled back to your financial trend. The outcome is a file structured in the format necessary for upload to the various systems in place, to provide the distributor with an accurate account of your business.
Many dealers have chosen to use ITK for factory submissions as ITK gets the jobs done more quickly and easily than traditional methods. It achieves this by visibly showing the profit centres (typically in a trended format for historical comparison), makes the effort of account allocation (and therefore balancing the submission) straight forward, and facilitates the simple, direct entry of memo information to supplement the financial data with any statistical requirement. |

Budgets, Franchise / Location and Prior period Comparisons |

Do you currently prepare budgets but rarely compare your projections against actual results? Similarly, do you wonder how your dealership is performing this year compared to prior years or even dealership versus dealership?
Many of our existing ITK clients currently prepare their budget in a workbook inside our ITK product which replicates the departmental structure of your monthly trended reports. You can bring these results together either at the time of your monthly import of your trial balance, or specifically by requesting the ITK Comparative feature on the View menu. In either case, ITK delivers the current Month and Year to date figures to compare the budget results against the dealership achievements. The result is a side by side comparison of current to budget with variance analysis columns in value ($) and/or percentage (%).
Similarly, ITK has the ability to produce the same comparison of actual to prior year. The year end procedure produces a snapshot of your trend which can also be configured to appear in a side by side analysis against you current trend. Our ITK product also has a "comparative" feature that allows you to directly compare two data sets (whether historical data, budget data or a similar location / dealership or franchise).

Report Wizard |

Have you noticed the Report Wizard option in the “File” menu for ITK and wondered what it was? The Report Wizard is a feature that enables you to deliver any combination of department from any of your ITK workbooks and nominate to either print or email it to one or many recipients. Assume for instance, you want to send the Service Manager the results for the service department only… Report Wizard enables this to be done automatically from within ITK once set up. For a further understanding of this useful feature, please refer to Ann Fabre's more detailed article below.

Automating your Daily Reporting needs

This article is intended for those of you that rely heavily on manual input from your sales departments, and for those of you who receive multiple forms of information from multiple sources to come to a daily understanding of the progress of your business.

The existing situation that many dealers face is that they simply cannot rely on their existing in-house computer solution alone to give them a daily account of what is happening beyond the trial balance.
For many dealerships, the registering of vehicle orders, writing Finance and Insurance deals, and up-selling Aftermarket products requires these departmental managers to maintain a manual record of the event to maintain a status of their overall progress. Our consultations with dealerships show many live examples of an Excel based solution that delivers the eventual message, but the environment suffers from single user access, room for error (through it's high level of manual effort required), and double up of much information already stored on the in-house computer system. There are even many departments today that still use manual ledger books to maintain their deal register.
Our continued effort into the development of latest technology solutions has recently resulted in a successful marriage of Trial Balance, in-house transactional and Order Book Information with an overall solutions that overcomes all of the previous mentioned issues.

As we continue to deepen the reporting experience of ITKonline by offering new features as we develop them , there has been much interest noted in our BTWonline (Behind the Wheel) product which facilitates an “up to the minute” understanding of all happenings across the variable operations of your businesses. ITKonline delivering the accurate daily message
What results is the ability for us to give “true” meaning to “Daily Operational Control” for the first time!
In many cases we have sensed initial reluctance from some of our customers in asking them to “let go” of the effort exerted to implement and maintain their existing daily model that had usually been developed over many years requiring continued diligence and effort by key staff at the dealership .
But once they see the end result of a progress report that identifies both information that has already been accounted for alongside that which is being proposed to be delivered, they quickly see the benefits fed back through each manager's positive experience.
What's more, you can choose from having the results pushed (via e-mail) to your management team on a daily basis, and they can subsequently log into our online systems to allow the manager to “fully interrogate” the system to get the meaning behind the numbers.
To take it a step further we incorporate budgets and therefore present a full comparative analysis in the ITKonline environment.

The sample shown here (click here to see enlarged sample) illustrates how powerful the Daily Operational Control offered in ITKonline can be if empowered with both your trial balance detail and BTWonline happenings. A report similar to the one shown here could be e-mailed to your desktop on a daily basis totally empowering you with everything you need to know about the day to day operations of the business. Report Wizard

All users of “In the Know” will have an option on their File menu called REPORT WIZARD. If you do not have this option, please contact us and we will deliver the latest version of our code.

The benefit of the report wizard is that it allows you to “pre package” a collection of reports under one title, and either print or e-mail (for our offer at lessening carbon emissions) those reports as a "collection" designed for a staff member, department or external contact. The steps below explain how easy it is to create a tailored report out of ITK with this useful tool.
From the FILE menu, select REPORT WIZARD. It then opens a dialog box as shown:
Select ADD, and then input a report name.
The report name is a reference for you to recognise the report, and does not appear elsewhere in ITK. (eg: Holden Service and Parts Report).
After selecting OK, it opens up the REPORT WIZARD - SPECIFICATIONS box.
In the following boxes, enter the following information:

Define Subject / Topic – subject of the email. This needs to be a generic name for the email, as it will appear as the subject of the email every time. (eg: Monthly Result – Service and Parts Report).
Select Workbooks – from the dropdown list select the relevant workbook that you want to email. (eg: FS.xls, ITK.xls, etc).
Select Departments – from the dropdown list select the relevant departments you wish to email. (eg: Service, Parts, etc).
Choose Consolidation – (for multi-location/multi-workbook dealers). If you wish to email a consolidated result of two or more dealerships and perform special consolidations you can use this feature to perform the consolidation.
Workbook Title - enter the excel worksheet name that will be emailed. (eg: ServParts You cannot use a name that is identical to another file in your ITK menu.
View Email Recipients – enter and save the recipients email address. A useful tip is to use your own email address when first setting up a report. This way you are able to test its contents before sending to other parties. Once satisfied, you can simply modify that report's email address.
Save Report. You will be returned to the PRINTING SCENARIOS box. From here you can ADD a new report, MODIFY an existing report, DELETE an existing report and/or PRINT/EMAIL a report. |

Please note that you may need to request the latest version of our software as a part of your plan to upgrade your system to Excel 2007. New “Lemon Law” may be introduced
Currently, if a purchaser has a problem with a new vehicle they have purchased, they are required to make a claim under the vehicles factory warranty. These usually only require that the defect be repaired during the warranty period. That may soon change.
The Victorian Government is considering implementing laws that may entitle the purchaser to a replacement vehicle or a full refund where the purchaser has ongoing problems with their new vehicle.
The Government is still considering what circumstances might classify as a lemon, but it may include criteria such as the faults have to cause the vehicle to not be available for use by the purchaser for a minimum number of days during the first year, or within a certain number of kilometers.
If the government proceeds with the laws we will provide an update on how it will effect your business.

Trade-in Vehicles 
Customers often provide their existing vehicle as a trade-in on a new vehicle. When dealers do this, the dealer is the customer for the purchase of the trade-in.
It is important that the purchase of the trade-in is documented thoroughly. It is possible that the vehicle being traded in is not the age stated, has not done the kilomtres on the odometer, is not in good condition or at least the condition represented and may have previously been written off.
To ensure that you do not end up with a vehicle that is of less value than you thought you had bargained it is important to make sure that your terms and conditions protect you from this.
